An orientation to college resources and the HC Evening Office

Spring 2022

The attendance policy for the Spring 2022 will remain the same structure (i.e. online, F2F, hybrid) as it was for Spring and Fall 2021.

1. For face-to-face and hybrid classes, student attendance will be required either physically or virtually. If you wish, you may require students to use their camera as proof of their virtual attendance – being mindful of bandwidth/connectivity issues.

2. However, faculty will have the ability to leverage the HyFlex approach as they deem necessary – in consultation with the School Chair and/or Dean of Teaching & Learning.

3. Obviously, we are all interested in helping each student succeed. Naturally, faculty are empowered to work with students through challenges and leverage HyFlex to help students be successful.

4. Many faculty members have seen great success and advantages of using the HyFlex approach. For Fall 2021, faculty members who would like to continue to utilize HyFlex are encouraged to do so in consultation with your respective Center Dean, Dean of Teaching & Learning, and/or School Chair.

Is HyFlex going away? Student choice = yes; Faculty choice = no

1. From the perspective of student choice, yes – HyFlex choice went going away as a general choice to attend/not attend class.
• That is, students in the Spring 2022 semester will be expected to attend F2F and hybrid classes.
• Last Spring, HyFlex  was removed from the MGCCC webpage.

2. From the perspective of the faculty using HyFlex, no – HyFlex is still an option to deliver content. Faculty are encouraged to leverage the HyFlex approach to deliver content and maximize engagement with students.

3. Currently, 151 classrooms will have HyFlex technology accessible at the outset of the Fall 2021. HyFlex Technology EDP training is available across the institution now.

All Spring 2022 face-to-face and hybrid syllabi should be updated with the following HyFlex attendance statements:

1. “In person attendance will be required for this course. However, the instructor reserves the right to utilize HyFlex technology during the course of the semester in accordance with the College’s official attendance policy found in the MGCCC College Catalog.”

2. “This class or portions of this class will be recorded and/or broadcast live via a secure telepresence technology (e.g., WebEx, etc.) by the instructor for educational purposes. These recordings will be shared only with students enrolled in the course. The instructor will communicate how students can access the recordings.”

Social Distancing?

1. Social distancing will still be a priority for all classes.

2. Leveraging HyFlex will allow instructors to abide by social distancing protocols and still require attendance.

Online content?

1. Yes, all courses should continue to put course material online.

2. Why?

• We are still in the midst of the pandemic, and we do not know what fun surprises lie ahead for the Spring 2022 semester. Therefore, we need to continue to prepare to flip online at a moment’s notice, if needed.

• This will also help to accommodate students in quarantine, faculty in quarantine, etc.

Will we communicate with students about this approach? Yes.

MGCCC Attendance Policy

Students are allowed one hour of absence per semester hour for lecture courses. Two hours of absences are allowed per semester hour for laboratory courses. Three hours of absences are allowed per semester hour for clinical/internship courses. If course objectives require a combination of lecture, lab or clinical/internship time, then the absences will be apportioned according to the limitations stated. Excessive tardies will not be tolerated and will count as absences. An instructor may drop a student after the student misses more than the number of absences per semester hour that the course allows. Excused absences are permitted at the discretion of the instructor and are not counted as absences. Official absences are excused and are not counted as absences. Instructors will be notified of such official absences by the college. In extenuating circumstances, students who are dropped after exceeding allowable absences may petition for reinstatement to the Dean of Teaching & Learning who advises the student of the proper procedure. Online Attendance

The process for measuring attendance for each online course is determined by the course instructor and/or the college hosting the course. However, two basic rules apply: attendance should be measured weekly, and attendance should be based on course participation (not just logins). Your attendance policy should be clearly outlined and placed in a prominent location in your course. Students should be able to easily access the instructor’s attendance policy when they log into the course site. As a general rule, students should not be allowed to go more than two weeks with inactivity in a full-term online course. Instructors should use EZ Attendance to record attendance for native online courses. If teaching an MSVCC Online course, EZ Attendance will be used to record attendance for all MGCCC students and the MSVCC Enrollment Attendance Tool will be used to record attendance for AWAY (non MGCCC) students.

Hyflex Attendance

HyFlex courses provide a flexible participation policy for students whereby students may choose to attend face-to-face class sessions and/or complete course learning activities online without physically attending class. However, in both cases, students must actively participate. Faculty may count a variety of behaviors as “participation”: attendance physically or virtually in a face-to-face class, completion of an assignment, participation in a discussion board, submission of an assignment, etc. What is important is that the teacher clearly outline in the syllabus how they will measure participation.

The following guidelines were derived from a Faculty Attendance Task Force that met in the summer of 2020.

  • a. Attendance must be documented regardless of course delivery method, so the challenge is how to appropriately document attendance in the HyFlex design.
  • b. The following guidelines are intended to provide guidance within a flexible, customizable framework. Below are suggest practices for recording attendance for HyFlex courses.

1. General Guidelines

16 or 8 Week Courses

  • Keep attendance ONCE per week.
  • This can be posted by the last day of the week or the first day of the following week.
  • Take and mark attendance ONCE per week based on criteria outline on the syllabus: completion of assignments/work in the course, F2F/virtual attendance, etc...
  • Simply logging in to the course does NOT count as attendance.
  • Students should be marked as “present” in accordance with the percentage of “participation” for the week. 

4 Week Courses

  • Keep attendance TWICE per week.
  • Select and communicate two normal weekly meeting times to record the attendance (aka, two assignments).
  • Take and mark attendance TWICE per week based on completion of assignments/work in the course.
  • Simply logging in to the course does NOT count as attendance.
  • Students should be marked as “present” in accordance with the percentage of “participation” for the week.

2. No Show
A student is considered a “No Show” for attendance purposes if there is no documentable engagement with the course content within the timeframe allowed. The “No Show” procedure will remain consistent; please ask your School Chair if you need clarification.

3. Other Considerations

  • a. The meeting dates already in the attendance system for a section should be marked present as long as the student completes the required assignment for that week.
  • b. If the student does not complete any of the assignments for that week, then the student may be marked absent for each attendance marker during that week.
  • c. What then is the meaning of the phrase above? Students should be marked as “present” in accordance with the percentage of “participation” for the week. If there are two dates in the attendance system, and the student only completes one assignment; then the student may be counted as present one day and absent the other. That is, the student was 50% present because they participated in 50% of the assigned activities.
  • d. The usage of the word “may” is intentional so that faculty members are encouraged to work with students through mitigating circumstances. • Faculty members are free to use the phrase “will” be marked absent on the syllabus; that clearly communicates boundaries. • However, the institutional policy is “may” so that faculty members can work with students.
  • e. Should a student be quarantined during the semester, he/she will be allowed to attend virtually/remotely; and the student should be considered in attendance (marked present each meeting date) as long as the student continues to participate and turn in assignments. Labs and/or activities requiring physical presence will be dealt with on a case-by-case basis. Please ask your School Chair if you need clarification.

4. Learning Outcomes
Credit hours may be earned in 16-week semesters, 8-week sessions, mini-sessions, intersessions, online, etc. All courses offered require the same learning outcomes of quality and rigor regardless of the length or delivery method. Credit can be awarded for equivalent instructional activities and academic engagement, which can include but are not limited to online videos, online discussions, video conferencing sessions, quizzes and/or exams, article summaries, case analyses, online group activities, interactive tutorials, etc.

Three Representative examples of the same course

 

ENG 2321 (16 Week Hyflex) - Version #1
  1. Class has 3 assignments for the week.
  2. Face-to-face classes are offered 3 days a week – MWF. Therefore, students have 3 due dates or opportunities to engage with the class during the week.  Instructor has decided that students must submit 1 assignment for each of those days – MWF.
  3. Students participating in online portion have one due date each week, which is Sunday at midnight.  This is a routine practice for most online classes.  All 3 assignments are due no later than Sunday at midnight.
    • If the student submits anywhere from 1-3 assignments by the due date, the student should be marked “present” for all 3 attendance markers for the week – MWF.  This depends on how large the assignment is.   A teacher could have 3 smaller assignment corresponding to the 3 days of attendance, or the teacher could have 1 major assignment that would account for all three days of attendance.
    • If the student submits zero assignments for that week, then the student should be marked absent for all 3 attendance markers of MWF.

  1. Class has 1 assignment for the week.
  2.  Face-to-face classes are offered 3 days a week – MWF. However, a major assignment for the week could represent enough work to be counted as participation.
    • If the student submits the assignment by the due date, then the student should be marked “present” for all 3 attendance markers for the week – MWF.
    • If the student does not submit the assignment for that week, then the student should be marked absent for all 3 attendance markers of MWF.
  3. Students participating in online portion have one due date each week.  The assignment is due no later than Sunday at midnight.
    • Attendance is marked the same as the #2a and #2b examples above.

  1. Class has 3 markers for participation.
  2. Face-to-face classes are offered 3 days a week – MWF. Therefore, students have 3 opportunities to engage with the class during the week.
    • Instructor allows students to simply attend three classes physically or virtually, which counts as participation.
    • Instructor allows students to view the video of the lecture asynchronously, which counts as participation.  This can be tracked in Canvas Studio. (NOTE: If the instructor intends to examine whether the student has actually watched the video, Canvas Studio is the only tool that will show this type of analysis. Other tools may show that a student “clicked” on the video but will not show how much they watched.)
    • Instructor gives an alternate option to students participating online to complete and turn in a quiz on each lecture.
    • The instructor could require one of the meetings to be physical and one to be virtual, should they desire.
  3. Students can participate via being “present” for the lecture or completing the online portion.  Recording attendance is due no later than the following Monday.
    • If the student attends class or submits the assignment by the due date, then the student should be marked “present” for all 3 attendance markers for the week – MWF.
    • If the student does not come to class or submit the assignment for that week, then the student should be marked absent for all 3 attendance markers of MWF.
